Overview

The Manager of Lease Administration oversees and facilitates the administration and execution of all lease and lease-related activities held by Eddie Bauer LLC and its affiliates.

Responsibilities

Lease Administration

  • Coordinating all legal communications with Landlords (other than lease negotiations)
  • Verifying approved business and legal terms for all lease drafts and amendments with Real Estate
  • Providing information for and coordinating the review and execution of new leases between our Real Estate and Legal teams, and consulting partner
  • Tracking critical lease dates for our entire fleet; coordinating timely exercise of lease options, renewals and kick-out rights
  • Ensuring proper lease abstracting of legal documentation into the database in partnership with our outside database vendor
  • Drafting, reviewing, and coordinating timely execution of SNDAs and estoppels, certificates of insurance, and legal notices to landlords
  • Maintaining accurate lease database information in coordination with outside database vendor to ensure accuracy of information
  • Coordinating the preparation and submission of tenant allowance requests with Finance/AP
  • Preparing and reviewing basic lease amendments
  • Providing initial interpretation of lease provisions for cross-functional partners
  • Tracking of ongoing/current working legal documentation in progress with out-counsel to ensure timely execution and processing
  • Maintaining the ongoing filing of legal notifications, leases, etc. to the actual lease files (electronic and hard copies)

 

Real Estate Support

  • Managing the leasing activity report for current and out years, including expirations, active kick-outs and options, and partnering with Real Estate to ensure appropriate action plans are in place
  • Managing the audit of monthly database reporting from our outside vendor
  • Coordinating with and advising Accounting on payment requests, reimbursements and disputes
  • Coordinating the assignment of tasks to Facilities and Maintenance and providing interpretation of lease terms
  • Working closely with our Real Estate team to ensure our consulting partner and key stakeholders have information needed for proactive planning and strategic decision making on real estate portfolio

 

Qualifications

  • 5 years working in a lease administration role in the retail industry required
  • Experience with contract review and negotiation and a full working knowledge and understanding of Retail lease terminology, calculations, financial terms and principles required
  • Must have solid Excel skills and the ability to build and maintain spreadsheets, access and analyze financial data per lease, access and analyze industry standard data against landlord provided data
  • Must be able to collaborate with others, have customer-oriented interpersonal skills as well as excellent verbal and written communication skills
  • Must be highly organized, have strong attention to detail and proven advanced planning skills
  • Must possess and demonstrate the ability to multi-task and manage multiple priorities simultaneously
  • Must have a high proficiency with the Microsoft Office Suite along with practical experience using Lease Administration Database programs
  • Bachelor’s degree or equivalent lease administration experience required
  • Paralegal certification or its equivalency a plus
