  • Overview

    To provide support to Vice President, General Counsel and Legal Department.  Ensure proper administration of broad array of legal matters and efficient functioning of department. 





    Core Accountabilities:

    • Manage litigation/claims including tracking deadlines, coordinating between outside counsel and internal clients, preparing responses to customer complaints, issuing litigation holds, investigating factual allegations, etc.
    • Manage insurance claims including communications with insurance broker and carriers.
    • Review of certain legal documents including Non-disclosure Agreements, powers of attorney and subpoenas.
    • Coordinate due diligence on various transactions as needed.
    • Assist on projects as assigned by the General Counsel.
    • Process legal documents for signature.
    • Manage budget/ forecasting/ expenses.
    • Process invoices from outside law firms and vendors.
    • Manage General Counsel’s calendar including internal and external contacts.
    • Keep General Counsel on track with schedule, travel and daily meeting cadence.
    • Operate as direct point of contact for General Counsel and legal department internally and externally.
    • Provide travel planning management.
    • Reconcile travel expenses and process expenses for approval/payment.
    • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities/rooms, and meeting minutes.
    • Prepare outgoing mail and correspondence.

    Education/Experience Required:

    • 4 year BS/BA in business or communication required
    • Paralegal certificate desirable
    • 5+ years as a legal assistant/paralegal in law firm or corporate legal department
    • Budget / expense management; maintaining a high level of confidentiality
    • Proficient Travel planning management
    • Proficient technical skills; Microsoft Business Suite
    • Advanced written and verbal communication, analytical, and anticipatory skills.
    • Ability to work and function independently with a high degree of confidentiality.
    • Required to have phone, email, and in person interactions with outside vendors, counsel and assistants


    Physical Requirements:

    • While performing the duties of this job, the associate is regularly required to talk or hear. The associate is frequently required to sit; stand; walk; use hands to finger, handle or feel; as well as reach with hands and arms.
    • The associate must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus.
    • Ability to work in open environment with fluctuating temperatures and standard lighting.
    • Ability to work on computer and mobile phone for multiple hours; with frequent interruptions.
    • Required to travel in elevator or stairwells to attend meetings and engage with associates on multiple floors throughout building.
    • Hotel, Airplane, and Car Travel Required.


    Position Type/Expected Hours of Work:

    This is a full-time position.  As an International Retailer, occasional evening and/or weekend work may be required during periods of high volume.  This role operates in a professional office environment and routinely uses standard office equipment.
